At Bloom Women’s Health Specialist Centre, your privacy is not a policy formality 0 it is a fundamental part of the care we provide. Every piece of information you share with us is handled with the highest level of discretion, security, and respect.
Privacy Is Part of Our Care
Women’s health involves some of the most personal dimensions of a person’s life 0 her body, her reproductive choices, her mental state, her relationships, and her deepest concerns. We understand that sharing this information with a healthcare provider requires trust – and we do not take that trust lightly.
From the moment you contact Bloom to the moment you leave our care, every interaction is governed by a commitment to complete confidentiality. Our clinical team, our administrative staff, and our systems are all held to the same standard: your information belongs to you, and it is protected accordingly.

3. WHO HAS ACCESS TO YOUR INFORMATION
Access to Your Information Is Strictly Limited
Your personal and medical information is accessible only to those who need it to provide or support your care. Access within Bloom is governed by strict internal protocols and is limited to:
Clinical Staff
The specialists, nurses, and clinical team members directly involved in your care have access to your medical records solely for the purpose of delivering and coordinating that care. All clinical staff are bound by professional and ethical confidentiality obligations.
Administrative Staff
Our reception and administrative team may access limited personal information – such as your name, contact details, and appointment history – for the purpose of managing bookings, communications, and billing. They do not have access to your detailed clinical records beyond what is necessary for administrative functions.
Third-Party Service Providers
In limited circumstances, Bloom works with trusted third-party providers – such as laboratory services, imaging facilities, or digital platform providers – who may receive specific information necessary to perform a service on our behalf. All such providers are required to handle your information in accordance with strict confidentiality agreements and are permitted to use it only for the specific purpose for which it was shared.
Legal & Regulatory Bodies
In rare circumstances, Bloom may be legally required to disclose certain information to regulatory authorities, law enforcement, or public health bodies. In all such cases, we disclose only the minimum information required by law and, wherever possible, will inform you that such a disclosure has been made.
We will never share your information with:
- Your employer
- Your family members or partner – unless you have explicitly authorised this in writing
- Insurance companies beyond what is required to process a specific claim you have initiated
- Any commercial third party for marketing or advertising purposes
4. CONFIDENTIALITY IN PRACTICE
What Confidentiality Looks Like at Bloom Day to Day
Our commitment to confidentiality is not just a written policy – it shapes how we operate at every level of our clinic.
In our consultations
Everything discussed between you and your specialist remains strictly within the clinical relationship. We do not share consultation content with anyone outside your direct care team without your consent – including family members who may accompany you to an appointment.
At reception
Our reception team is trained to handle all patient interactions with discretion. We do not confirm or deny that any individual is a patient at Bloom to anyone other than the patient themselves. Appointment details, medical concerns, and personal information are never discussed in public areas of the clinic.
In our communications
When contacting you by phone, WhatsApp, or email, we take care to communicate in a way that protects your privacy. If you have specific preferences about how we contact you – or what information should or should not be included in messages – please let our team know and we will accommodate your request.
In our records
All patient records – whether physical or digital – are stored securely with restricted access. Digital records are protected by encryption and access controls. Physical records are stored in locked, secure facilities accessible only to authorised staff.
On our website
Our website does not collect identifiable personal information unless you voluntarily provide it through our contact or booking forms. Any information submitted through these forms is transmitted securely and handled in accordance with this privacy policy.
5. YOUR RIGHTS AS A PATIENT
You Are in Control of Your Information
As a patient at Bloom Women’s Health Specialist Centre, you have the following rights regarding your personal and medical information:
The Right to Access
You have the right to request a copy of the personal and medical information we hold about you at any time. Requests are processed within a reasonable timeframe and without charge in most circumstances.
The Right to Correction
If any information we hold about you is inaccurate or incomplete, you have the right to request that it be corrected. We will act on such requests promptly.
The Right to Withdraw Consent
Where your information is being used on the basis of your consent – such as for wellness newsletters or marketing communications – you have the right to withdraw that consent at any time. Withdrawal of consent will not affect the care you receive at Bloom.
The Right to Restrict Use
In certain circumstances, you have the right to request that we limit how we use your information – for example, restricting its use to direct clinical care only.
The Right to Know
You have the right to be informed about how your information is collected, used, and protected. This privacy page is part of how we honour that right, and our team is always available to answer questions about specific aspects of how your data is handled.
The Right to Complain
If you believe your privacy rights have not been respected, you have the right to raise a complaint with Bloom directly. We take all privacy concerns seriously and will investigate and respond to complaints promptly and transparently.
6. DATA SECURITY
Your Information Is Stored and Protected With Care
Bloom takes the security of your personal and medical information seriously and employs appropriate technical and organisational measures to protect it against unauthorised access, loss, destruction, or disclosure.
Our security measures include:
- Secure, encrypted digital record systems with role-based access controls
- Password-protected devices and systems used by all staff
- Regular staff training on data protection and confidentiality obligations
- Secure physical storage of any paper-based records
- Restricted physical access to areas where patient records are held
- Secure data transmission protocols for all online communications and forms
- Regular review of our security practices to ensure they remain current and effective
In the unlikely event of a data breach that affects your personal information, Bloom will notify you as promptly as possible and take all necessary steps to contain the breach and prevent further harm.
7. RETENTION OF YOUR INFORMATION
We Keep Your Records Only for as Long as Necessary
Bloom retains patient medical records for the period required by applicable healthcare regulations in Uganda and for as long as is reasonably necessary to support your ongoing care. After the applicable retention period, records are securely destroyed in a manner that protects your privacy.
If you have a specific concern about how long we are retaining your information, or wish to request the deletion of information that is no longer required for your care, please contact us directly and we will advise you on what is possible within the bounds of our legal and regulatory obligations.
8. CHILDREN & ADOLESCENT PATIENTS
Special Care for the Privacy of Young Patients
Bloom provides specialist healthcare to adolescent girls and young women, and we apply additional sensitivity to the management of their personal and medical information.
Where a young patient is accompanied by a parent or guardian, we balance the need to involve and inform the accompanying adult with our obligation to respect the confidentiality and developing autonomy of the young patient herself. In line with best practice in adolescent healthcare, certain aspects of a consultation – particularly those relating to sexual health, mental health, or reproductive concerns – may be conducted privately with the young patient, with her consent, to ensure she can speak openly and receive the care she needs.
If you are a parent or guardian with questions about how we handle the information of a young patient in your care, please speak to our team directly and we will be happy to discuss our approach with you.
9. UPDATES TO THIS POLICY
We Will Always Keep You Informed of Changes
Bloom reviews and updates this Privacy & Confidentiality Policy periodically to ensure it remains accurate, current, and reflective of how we operate. When significant changes are made, we will notify patients through appropriate channels – including updates on our website and direct communication where relevant.
We encourage you to review this page from time to time to stay informed about how we protect your information. The date at the bottom of this page indicates when it was last updated.
10. CONTACT US
